Sales Assistant

Fox Hills is a fun, fast paced, customer-focused hospitality business. The Sales Assistant has the important and exciting responsibility of the administration and customer service support for Corporate, Golf Outing, Social and Wedding Sales Managers and their events. 

 

ESSENTIAL FUNCTIONS:

 

• Entering new client accounts into online systems: Triple Seat, EZ Suites
• Creating and sending contracts via Triple Seat
• Communicating in a timely and professional manner over the phone and via email with staff and clients
• Sending receipts for payments
• Creating Banquet Event Orders based on information provided by the salesperson
• Updating event information within online databases: Triple Seat and EZ Suites, EZ Tee Pro
• Running reports, creating worksheets, filing documents
• Creating and updating room diagrams into online system: Prismm
• Updating spreadsheets and other documents, send to clients and distribute to team
• Maintaining lobby TV marquee information to welcome private events at the Golden Fox and sending to the team 1 month if advance, as well as updating with pop-up events
• Keeping paper supplies stocked, straighten brochures and information in waiting area, maintain sales packets throughout Fox Hills property
• Periodically representing Fox Hills at sales-related offsite events within 45-minute radius of the property; mileage compensation provided
• Creatively assist with planning and execution of sales driven in-house events
• Providing social media coverage on Facebook and Instagram while on property
• Creating collateral or digital marketing materials according to current branding for Sales Department
 
 
 
WORK CONDITIONS AND COMPENSATION:
 
• Office work environment
• Occasional assistance with event setup or other miscellaneous needs throughout the property; ability to lift up to 50lbs
• Monday-Friday work week + Weekend coverage, with notice
• Average 40 hours per week, year-round, starting at $24/hour, depending on experience
• Overtime during peak season with prior approval

At end of year 2, 3, 4  - 80 hours
At end of year 5  120 hours

Requirements

Job Requirements

  • Customer service experience and passion; must enjoy assisting internal team members and external customers with a friendly smile and positive attitude
  • Great communicator: excellent written and verbal communication skills
  • Excellent organizational skills with precise attention to detail
  • Able to understand and follow written and verbal instructions with minimal oversight as well as be pro-active with essential job duties
  • Ability to multi-task with a diverse team in a fast-paced and customer-focused environment
  • Must be flexible and fluid with day-to-day operations; roll with the punches
  • Well versed in Microsoft: Outlook, Word, Excel, PowerPoint, Publisher and preferably Canva
  • Ability to quickly learn new computer software programs
